This quarter, we’re spotlighting the live webinar on the AASHTOWare Project™ Vendor Management Portal (VMP), which can be viewed in the Videos section of APO by navigating to Project Videos > Recent Webinar Videos. Through this webinar, AASHTOWare Project users were able to learn more about this innovative tool and how agencies can leverage its streamlined workflows. Some highlights and general information from this event have been included below.

Spotlight: Vendor Management Portal Webinar

The VMP is an integrated solution where agency staff can review and approve new vendor applications, updated vendor information, and prequalification applications and renewals that have been submitted in the vendor-facing complement. This two-part solution provides a complete workflow for vendor management, continuously syncing vendor information updates and key status changes to your web-based AASHTOWare Project environment.

Designed to address significant workflow inefficiencies, the portal eliminates the need for manual transcription, repetitive data entry, and handling disparate communication channels like phone calls and PDFs. By automating these workflows, the portal ensures that agency data is current, accurate, and reliable, as information is submitted directly by the vendors. This shift allows agency staff to move away from administrative burdens and focus on high-priority core responsibilities, ultimately reducing errors and saving significant time.

The system functions through a seamless integration where vendors submit information via a free, passwordless interface, and agencies review these submissions in a centralized dashboard. The workflow supports new registrations—using IRS numbers to prevent duplicates—and allows existing vendors to claim and update their records. Agency administrators have robust control over system settings, including customizable data fields and role-specific access, ensuring that once a record is approved, the data flows centrally into AASHTOWare Project in real time.

Looking forward, the VMP roadmap includes future features such as DBE/SBE certification mechanisms and user management for payrolls. Agencies interested in adopting the VMP must currently license AASHTOWare Project Preconstruction™. Additionally, interested agencies were advised to prepare by reviewing Reference Vendor records, validating important vendor information, as well as reviewing code tables and values used by vendor records.
